EVENT POLICIES
All reservations and event requirements for private banquet functions are made upon and subject to the rules and regulations of AYANA Resort and Spa on the following conditions:
1. Legal Wedding Ceremony priced at additional USD 700++ includes services and arrangements for legal licenses and documentation, religious minister and government registrar. Indonesian government requirements for arranging legally binding marriage vows are quite specific. Once those guidelines are met the legal formalities are relatively easy to manage. When a couple decides to wed in Bali, our Bali-based agent files all of the necessary paperwork with Indonesian authorities. Originals of all legal and religious documentation must be brought to Indonesia and shown as proof before the ceremony takes place. Note: It is not possible to have a legal marriage until a religious ceremony has taken place.
2. Details of Event(s):
The menu and all other details of your event(s) are to be finalized a minimum of 60 days prior to the date of your event.
3. Guarantees:
It is required that the catering office be notified of the exact number of guests attending a function at least seventy two (72) hours prior to the event. This will be considered a guarantee for which you will be charged even if fewer guests attend unless your attendance exceeds your guarantee. If the guarantee given is for more than 100 persons, the hotel will set up and prepare 5% more than the guaranteed number.
4. Food Tasting:
Menu/food tastings are only conducted a minimum of 30 days prior to wedding. Food tasting is on complimentary for 1 session for up to 6 persons. Additional food tasting session requested will be subject to the menu price. Food tasting for Buffet will be limited to certain pre-selected items on appetizer, hot items, soup and dessert only, no live carving or BBQ grill item is able to be tasted.
5. Outsourced Food:
The Hotel does not encourage any food outsourced outside from the Hotel. Should Client request specific food that are beyond the catering capabilities of our culinary team, the outsourced food will be subject to Hotel‟s policy and regulation and will incur handling fee(s) that will be discussed and agreed by the client upon receiving detailed information of the food items itself. An indemnity form will be issued to be signed by Client or Vendor as liability coverage.
Outsourced Wedding Cake will be subject to USD 150++ for service and handling fee.
Outsourced Food for Vendor‟s meal ordered by Organizers will need to go through Security/ Loading Area (not through Main Lobby area)
6. Corkage Fee:
The hotel imposes a USD 20++/bottle “corkage” fee for wine and champagne (size up to 0.75L) brought into the hotel and served at group functions.
7. Dance Floor:
The hotel imposes a USD 250++ for request setup of dance floor with standard size 4x6m
8. Hospitality Suite Policy:
AYANA Resort and Spa recognises and supports the need for hospitality suites in the Hotel. Groups utilising hospitality suites on guestroom floors must limit the hours to opening after 1000 hours (10:00 a.m.) and closing before 2200 hours (10:00 p.m.).
For any hospitality suites located on Club Lounge, attendance must be limited to groups of no more than 35 people and only for guests staying on Club Room, unless otherwise arranged for in advanced. Please note that hospitality requests for Club are discouraged.
Consideration of all the guests of AYANA Resort and Spa must be observed at all times, as to noise and activity in and around the hospitality suite areas.
For larger groups and/or those requiring hospitality hours other than those above, and/or needs for activities other than food and beverage in the suite, meeting suites are available.
9. Private Function in Outlets:
Any private function in outlet designated solely for your event requires minimum revenue on F&B and other expenses at USD 10,000. If this minimum is not met, the Hotel reserves the right to transfer your event to another venue or charge venue rental.
10. Bar set up fee during events:
The hotel charges a flat fee of USD 150++ per bar per set up. This fee will be waived should the beverage revenue reaches a minimum of USD 500 per bar.
11. Bar Setup & Bartenders and Beverage Team (applicable for additional late night party in the Ballroom/ Champa Garden):
The hotel charges a flat fee of USD 1000++ for setup of 1 Bar with dedicated Bartender and Beverage Team for additional after hour service (10.00pm until event conclusion). Beverages and applicable corkage charges are at additional cost on top of the Bar setup & service fee.
12. Chinese Tea Ceremony Charges:
The hotel charges a flat fee of USD 250++ rental for tea ceremonies conducted in private venues which includes staff, hot water and standard set up to include red linens. Private venues do not apply to the exclusive use of Astina or Tresna Pavilion.
13. Signages:
Decorations or displays brought into the hotel by the guest must be approved prior to arrival. Items may not be attached to any stationary wall, floor, window or ceiling with nails, staples, tape or any other substance in order to prevent damage to the fine fixtures and furnishings.
No Signage of any kind is permitted in the lobby or on the public grounds. Signage is to be used outside meeting rooms only and must not be larger than 69 cm (27”) wide and 41 cm (16”) high. The hotel can have signage printed at prevailing rates.
14. Marquee & Tent rentals:
Vary according to setup requirements. Recommended for outdoor events during the tropical season September – March.
15. Sound Curfew:
All amplified entertainment that is outside of the Hotel must conclude no later than 2200 hours (10:00 p.m.). The Hotel will determine the appropriate level of sound amplification from 2200 hours onwards. This is in accordance with local ordinances and for the respect of other Hotel guests. Venues with later sound curfews are at the Ballroom, Champa Garden and Rock Bar.
16. Utility Fee Application:
Outsourced Entertainment & DJs to cover electricity and setup assistance at USD 500++/ setup venue/ day.
Outsourced Decoration to cover standby engineering on supervision and general maintenance post event at USD 800++/ setup venue/ day. This does not include Flower Storage rental area applicable depending on space requirement.
Outsourced Firework arrangement will be subject to USD 200++ to cover engineering staff on standby for supervision purposes during setup and event execution.
17. Audio Visual Equipment:
We conveniently have available in-house audio-visual equipment for all your audio-visual needs. Pricelist available upon request.
18. Subcontractors/Policy Agreement:
Client agrees to have any subcontracted companies (theme companies, decorators, audio-visual suppliers, production companies, entertainment companies, etc.) sign a “Code of Conduct and Policies Agreement” and abide by the hotel rules and regulations. The contracted company shall furnish AYANA Hotel Company with a certificate of insurance evidencing USD 1,000,000 of liability coverage prior to the commencement of work or services on the hotel property. Decorations or displays brought into the Hotel by the guest must be approved prior to arrival. In order to prevent damage to the fine fixtures and furnishings of the Hotel, items may not be attached to a stationary wall, floor, window, door or ceiling with nails, staples, tape or any other substance. Client will assume all responsibility for any damage to the hotel premises from such items.
It is understood that the premises will be left in a neat and orderly condition, free of debris or display refuse, no later than the contracted completion date and time. Based on time and labour, additional charges may be incurred for the removal of the group‟s materials by the hotel staff at the close of any event.
19. Room Drops:
For deliveries to guestrooms the hotel charges a flat fee of USD 2++ per room, per delivery.
20. Packages:
A labour charge of USD 12++ per hour will be assessed for shipments of 15 cartons of more to be transported within the hotel. This same labour charge will apply to the packaging, labeling and shipping of any cartons remaining after an event has concluded.
The following information must be included on all packages to ensure proper delivery:

Signature by the Event Manager will be regarded as acceptance by the Hotel of the above contract.
21. All Mentioned Prices:
There will be an applicable 10% taxable service charge and 11% applicable sales tax on all Event Charges including Food and Beverage items. Price is subjects to change, with prior notice. Guaranteed pricing will be confirmed six (6) months prior to the function date. 22. Security:
AYANA Resort and Spa will not assume responsibility for damage or loss of any merchandise or articles brought into the Hotel or for any items left unattended, except through the direct act of the hotel staff. With advance notice, your Event Manager can assist you in arranging for security officers at an additional charge.
23. Reservation Forms and Literature:
Any printed forms or literature pertaining to reservations or deposits must be reviewed and approved in writing by AYANA Resort and Spa. Any use of AYANA Hotel Company logo and any reference to the hotel must have prior approval from the Hotel. These are federally registered trade and service marks of AYANA Hotel Company, and may not be used without the express authorisation of AYANA Hotel Company.
24. Governing Law:
The laws of The Republic of Indonesia shall govern all disputes relating to the performance of and/or interpretations of any term of this agreement.
